Privacy Policy
Version v2026-10-20 · Effective October 20, 2026
This Privacy Policy explains how RDL Labs ("RDL", "we", "us"), the operator of RDLLabs.net, based in Mesquite, Texas, collects, uses, and shares information. Questions or requests: contact us through the Support page at /support.
1. Who this covers
Dental offices and their staff, dental labs and their staff, patients, temporary dental workers, delivery drivers, and visitors to RDLLabs.net.
2. What we collect
- Account information: name, email, phone, business name, city and state, role, and login details (passwords are stored only as secure hashes).
- Case and work information: case details that offices and labs enter, such as case numbers, due dates, status, notes, files, photos, and messages.
- Patient information: information an office, lab, or patient enters for a case, a referral, or the patient's own account.
- Payment information: invoice amounts and payment status. Card and bank details are collected and held by Stripe, not by RDL.
- Work and route information: shifts, time and mileage records, delivery stops, and (for drivers on a route) location while using the driver tools.
- Content: reviews, community posts, job posts, and support messages.
- Technical information: IP address, device and browser type, and logs, used to keep the Service secure and working.
3. How we use information
To run the Service; connect offices, labs, patients, temps, and drivers; send the alerts and messages you choose; process invoices through Stripe; prevent fraud and abuse; provide support; improve the Service; and meet legal duties. We do not sell personal information, and we do not sell or rent patient information for any purpose.
4. Patient information and HIPAA-minded handling
Offices and labs may be covered by HIPAA. RDL is built to handle patient information carefully:
- patient information is shared only with the office and lab working on that case, and with others only when the patient or the office allows it;
- patients control what they share from their own account, and shared links can expire;
- labs see the office name and the patient name on the cases they work on;
- RDL administrators see case numbers, not patient names, in admin tools;
- access is limited by account type and by the staff permissions the account owner sets;
- data is sent over encrypted connections.
Where RDL acts for an office or lab under HIPAA, we will sign a business associate agreement on request through /support.
5. Patient alerts
Text, email, and app alerts to patients are opt-in. Patients can turn alerts off at any time in their account or by following the instructions in the alert.
6. Who we share with
- The other side of your work: for example, the lab on your case, the office that sent it, the office or lab offering a shift, or the driver on a route.
- Service providers who help us run the Service (for example, hosting, email and text delivery, and Stripe for payments), under contracts that limit their use of the information.
- Legal and safety: when required by law, or to protect people, the Service, or our rights.
- Business transfer: if RDL is merged or sold, information may move with the business under this policy.
Public profile information (for example, a lab's name, city, and reviews) and posts you make public can be seen by others.
7. Insurance help
Insurance help pages are informational only. RDL does not sell or recommend insurance plans and does not share your information with insurance sellers.
8. Your choices and rights
You can view and update your account information, change alert settings, and ask us to export or delete your account through /support. Some records may be kept where the law or the other party's records require it (for example, case history held by an office or lab, payment records, or tax records). Texas and other state privacy rights are honored as they apply.
9. Keeping information
We keep information while your account is open and as long as needed for the purposes above, for legal and tax records, and to resolve disputes. Shared patient links stop working when they expire or are turned off.
10. Security
We use reasonable safeguards, including hashed passwords, encrypted connections, access controls, and logging. No system is perfectly secure; tell us right away through /support if you think your account is at risk.
11. Children
The work tools are for adults. A patient under 18 must be added by a parent or guardian.
12. Changes
Each version of this policy has a version number at the top. When we make a change that needs your agreement, we will ask you to review and accept it the next time you sign in.
